We are the data controller responsible for your personal data. This means we decide how and why your personal data is used. Our details are:

We handle your personal data in line with UK data protection law, including the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR). Our website and services are intended for businesses and are not directed at children.

We only collect personal data that we need in order to respond to you and to provide our services. Depending on how you interact with us, this may include:

Information you give us directly. When you complete an enquiry or contact form, request a quote, or contact us by email or telephone, we may collect your name, the name of your organisation, your job role, your email address, your telephone number, the location and details of the equipment or site you need inspected, and anything else you choose to tell us in your message.

Information about your visit to the website. When you browse seis.engineering, we may automatically collect technical information such as your IP address, browser type and version, device type, the pages you view, and how you arrived at the site. This is collected through cookies and similar technologies, as explained in section 4.

Information from our work together. If you become a client, we hold the records needed to plan, carry out and report on your inspections, together with the contact and account details needed to manage the engagement.

We do not intentionally collect special category data (such as health data) through the website, and we ask that you do not include sensitive personal information in enquiry forms.

3. How and why we use your personal data

We use your personal data for the purposes below. Next to each is the lawful basis we rely on under data protection law:

To respond to your enquiry and provide a quote. Lawful basis: our legitimate interests in responding to people who contact us, and taking steps at your request before entering into a contract.

To provide and manage our inspection services. Lawful basis: performance of our contract with you or your organisation, and compliance with our legal obligations where an inspection is required by law.

To keep records and meet our legal and regulatory duties. Lawful basis: compliance with legal obligations, and our legitimate interests in keeping accurate business records.

To run, protect and improve the website and keep it secure. Lawful basis: our legitimate interests in operating a safe, reliable website.

To send you relevant updates about our services, where you have asked us to or where we are allowed to do so. Lawful basis: your consent, or our legitimate interests in marketing to existing and prospective business clients. You can opt out of these messages at any time using the link in the message or by contacting us.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights, and we keep that balance under review.

  • Service providers who help us run our business and website, such as our website hosting provider (currently Hostinger), our email and IT providers, and our analytics providers. These providers act on our instructions under contract and may only use your data to provide their service to us.
  • Professional advisers, such as our accountants, insurers or legal advisers, where needed.
  • Regulators, enforcement bodies or other authorities, where we are required to share information by law, or to establish, exercise or defend legal claims.
  • A buyer or successor, if we sell or reorganise our business, in which case your data would continue to be protected under this policy.

6. Sending information outside the UK

We are based in the United Kingdom and aim to keep your personal data in the UK. Some of our service providers, for example certain hosting or analytics providers, may process data in other countries. Where your personal data is transferred outside the UK, we make sure it is protected by an appropriate safeguard recognised under UK data protection law, such as a UK adequacy decision for the destination country, or standard contractual terms approved for use in the UK (including the International Data Transfer Agreement).

7. How long we keep your personal data

We keep your personal data only for as long as we need it for the purposes set out in this policy, and to meet our legal and accounting obligations.

  • Enquiries that do not lead to an engagement: we keep these for up to 24 months, then delete them.
  • Client and inspection records: we keep these for at least 7 years after our work for you ends, reflecting the periods during which legal claims could be brought and our tax and record-keeping duties. Some statutory inspection records may be kept for longer where this is needed for safety, evidential or legal reasons.
  • Analytics data: this is kept in line with the retention settings of the analytics tools we use.

When we no longer need your personal data, we securely delete or anonymise it.

8. How we keep your personal data secure

We take the security of your personal data seriously and use appropriate technical and organisational measures to protect it against loss, misuse, unauthorised access and disclosure. These include secure hosting, access controls, and encryption of our website traffic. No method of transmission over the internet is completely secure, but we work to protect your data and have procedures in place to deal with any suspected data breach.

9. Your rights

Under UK data protection law you have a number of rights over your personal data. You can ask us to:

  • give you access to the personal data we hold about you;
  • correct personal data that is inaccurate or incomplete;
  • delete your personal data, where there is no good reason for us to keep it;

If you are unhappy with how we have handled your personal data, you have the right to complain to us directly. Please contact us using the details in section 12, setting out your concern.

We will acknowledge your complaint within 30 days of receiving it, look into it without undue delay, keep you informed of progress, and tell you the outcome and the reasons for it.

If you are not satisfied with our response, you can complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection. We would, however, appreciate the chance to resolve your concern first.
